About the team you’ll be part of

The Economics & Analytics Group provides economic analysis to help to shape policy, based on insights from economic theory and empirical research and strive to be thought leaders in how we apply economics to benefit UK consumers and citizens in communication matters.

The purpose and scope of the role

The successful candidate in this role will be expected to provide Senior PA support to the Group Director for the Economics and Analytics Group and when required support other Personal Assistants with Directors and senior leadership within the business function.

Your Key Responsibilities

  • Proactive diary management and coordination, assessing priorities of meetings, booking external and internal meetings and making all administrative and travel arrangements
  • Being a first point of contact for senior external stakeholders and their offices
  • Assisting with the preparation, collation and printing of meeting papers, making sure all relevant papers and agendas for meetings are prepared (including commissioning papers when required)
  • Building meeting agendas and coordinate any associated logistics, including taking actions/minutes of meetings as required
  • Workday delegate for the Group Director, submitting expenses, timesheets, or approving on their behalf
  • Producing written documents, such as letters, reports and emails, giving a clear, logical presentation, with excellent attention to detail and accuracy
  • When necessary, using initiative to respond to enquiries to aid their resolution and pre-empting difficulties
  • Proactively building strong working relationships with other Group Director PAs widely across Ofcom.
  • Providing additional support to the team on shared tasks and other duties that would reasonably sit within the purpose of the role, as and when required

The skills, knowledge and experience you’ll need for success

  • Proven experience of supporting senior executive’s diary schedule, including travel and events
  • Able to produce clear written documents, such as letters and emails with excellent attention to detail
  • Evaluating problems:  Proactively identify and generate insights and solutions without much guidance. This is a fast-paced role for someone personable, not easily flustered, and willing to get stuck in whatever comes their way and collaboratively work with others
  • Executing Plans and Embracing change: Excellent organisational and time management skills, using judgment to prioritise tasks and set clear goals while keeping an eye on progress. Remaining flexible to the changes and anticipating potential risks/issues, taking accountability
  • Relationship management and communication: Interacting with people at all levels (internal/external) and communicating effectively
  • System knowledge: Proficient in Microsoft Teams and Office, SharePoint, and Workday (desirable)
